This notice informs you about the personal data we process.
1. Data Controller
This notice concerns personal data processed via neojadid.com by the NeoJadid International (NJI) initiative (“NeoJadid”, “we”). NeoJadid is not yet registered as a legal entity; once registration is complete, the controller details here will be updated. Contact: info@neojadid.org
2. Data We Process
a) Membership account: name, email, country, password (stored only as an encrypted hash; never in plain text), optional short bio. Full members also have a member number, seat number and affiliated organ. b) Application (Join form): name, country, email, chosen unit, application message, and an irreversible hash of the IP address for security. c) Parliament activity: motions, votes, commission participation, judiciary filings, academy registrations and certificates. d) Contact Network (authorised officers only): name, title, organisation, country and contact details of public, institutional and academic figures; not public. e) Technical: a session cookie (nj_session) strictly required to keep you signed in. No advertising/tracking cookies or third-party analytics are used.
3. Purposes of Processing
Membership and authentication; evaluating applications; running the Virtual Parliament (motions, voting, declarations, commissions, judiciary, academy); operating the organisation’s contact network; security and abuse prevention.
4. Legal Basis
Membership and application data rely on your explicit consent. The security IP hash and session cookie are necessary to provide the service (legitimate interest). Contact Network data is processed within the organisation’s legitimate activities and applicable law.
5. Retention
Data is kept while your account is active and membership continues. If you ask to delete your account, data is erased or anonymised within a reasonable period. Data of rejected applicants is deleted after 2 years (aligned with the re-application waiting period in the charter).
6. Transfer & Hosting
Data is hosted on a server under NeoJadid’s own control. We do not sell your data to third parties or share it for marketing.
7. Your Rights
You have the right to access, correct, request erasure of, and object to the processing of your data. To exercise these rights, write to info@neojadid.org.
8. Security
Passwords are stored encrypted with a strong algorithm (argon2id). Session cookies are server-only (httpOnly) and sent over a secure connection (HTTPS). Server access is restricted by role.
9. Children
Membership is open only to people aged 18 and over (Charter Article 14). We do not knowingly collect data from minors.
10. Changes
This notice may be updated; significant changes are published on this page together with the effective date.
